Data Retention Policy

1. Overview

This Data Retention Policy outlines how long CloudMerg retains personal data collected through the UniTalent platform, in compliance with Qatar's Personal Data Protection Law (PDPL) No. 13 of 2016.

2. General Principles

We retain personal data only for as long as necessary to:

  • Fulfill the purposes for which it was collected
  • Comply with legal obligations
  • Resolve disputes and enforce agreements
  • Maintain security and prevent fraud

3. Retention Periods by Data Type

3.1 Active User Accounts

Retention Period: While account is active + 2 years after last login

Data retained: Profile information, applications, documents, communications

3.2 Inactive Accounts

Retention Period: 2 years after last activity, then anonymized or deleted

We will attempt to contact you before deletion.

3.3 Deleted Accounts

Retention Period: 30 days after deletion request approval

Data is permanently deleted after the retention period, except where legal obligations require longer retention.

3.4 Application Records

Retention Period: 3 years after application submission or until account deletion

Retained for record-keeping and potential dispute resolution.

3.5 Uploaded Documents (CVs, Certificates)

Retention Period: While account is active + 1 year after account deletion

Documents are securely stored and deleted after the retention period.

3.6 Access and Consent Logs

Retention Period: 5 years

Required for compliance and audit purposes under PDPL.

3.7 Communication Records

Retention Period: 2 years after last communication

Includes emails, messages, and notifications sent through the platform.

4. Legal Obligations

We may retain data longer than specified above if required by:

  • Qatar laws and regulations
  • Court orders or legal proceedings
  • Regulatory investigations
  • Contractual obligations

5. Data Deletion Process

When data reaches its retention period:

  1. Data is marked for deletion
  2. Backup copies are identified and scheduled for deletion
  3. Data is permanently removed from active systems
  4. Deletion is logged in our audit records

6. Your Rights

You have the right to:

  • Request early deletion of your data (subject to legal obligations)
  • Request information about data retention periods
  • Object to retention beyond the stated periods
